A board shouldn’t be a record of everything a team has touched. It should show everyone what deserves attention next.
Use fewer stages, with clearer meanings
Start with a few states people can explain without a manual. If two stages mean almost the same thing, combine them. If a stage hides a waiting decision, name that decision.
Every kind of work doesn’t have to look identical. What matters is that the team agrees on where things stand and what comes next.
Write the action on the card
“Homepage” is a topic. “Review the homepage brief” is a task. An actionable title makes it easier for someone to understand what they can finish today.
Keep the supporting context inside the task, where it can explain the action without competing with it. When a card contains several unrelated outcomes, split it into smaller steps.
Review the board as a team
A short review should focus on blockers, decisions, and the work that has changed. Ask what is waiting, who can help, and which next step has become unclear.
The best improvement may be a clearer title or one fewer status. Keep the board light enough that maintaining it remains part of doing the work.
